Exhibitor Media Kit: the complete guide for organizers

In short. A Media Kit lets your exhibitors/speakers self-download branded visuals from templates you control. The kit is embedded on your site via an iframe and allowed only on a domain whitelist. Adoption is measured with a dashboard and CSV export.

First things first: 2 simple notions

Activation (UA) = 1 unique participant (exhibitor or speaker) who downloads at least 1 visual.
50-UA top-up = add 50 UA to your allowance whenever needed.

  • Multiple files by the same participant = 1 UA.
  • 10 different participants downloading 1 file each = 10 UA.

Useful TL;DR

  • Controlled templates: brand consistency, limited editable fields.
  • Reliable integration: iframe + domain whitelist (renders only on your sites).
  • Predictable cost: pay per UA, add 50-UA top-ups.
  • Distribution: per-format downloads + ZIP export.
  • Measurement: dashboard + CSV export.

What this kit fixes

  • Design back-and-forth → exhibitors self-serve, at scale.
  • Visual inconsistency → templates lock type/colors/placements.
  • No visibility on usage → UA counter, downloads per format, CSV.
  • Fragile integration → domain whitelist + encapsulated iframe.

How it works (7 clear steps)

  1. Create the event: name, dates, brand identity, target formats.
  2. Prepare templates: allowed fields (logo, name, booth…), safe areas.
  3. Authorize your domains: add your (sub)domains to the whitelist.
  4. Embed the iframe on your exhibitors/participants page (aim for 640–720 px height).
  5. Open access: link from your exhibitor space / dedicated page; prefill is possible.
  6. Downloads & ZIP: participants fetch files; a ZIP is available.
  7. Analyze usage: UA consumed, top formats, CSV export.
<!-- Generic example to adapt -->
<iframe
  src="https://app.media-k.it/kit?event_id=EVT123"
  width="100%"
  height="720"
  loading="lazy"
  referrerpolicy="no-referrer"
  style="border:0; border-radius:12px;"
  allow="clipboard-read; clipboard-write"
></iframe>

Common pitfalls
• Domain not whitelisted → iframe won’t render.
• Host CSS bleed-through → wrap the iframe in a neutral container.
• Height too low → allocate ≥ 640–720 px.

What it costs (readable examples)

The counter is based on UA (unique participants who download ≥ 1 visual).
Start with an allowance of UA and add 50-UA top-ups if needed.

Participants who downloadUA consumed50-UA top-ups
1501503 packs of 50
50050010 packs of 50
1000100020 packs of 50

Tip: start around ~70% of your exhibitor base, then adjust with 1–2 top-ups based on real adoption. Costs stay aligned with usage.

Design that “fails safely”

  • Safe areas & ratios: avoid edge-hugging text; test at 320 px wide.
  • Thumbnail legibility: exhibitor name must be 100% readable on mobile.
  • Useful formats: square (feed), story (vertical), landscape (link preview), email header.
  • Constrained edits: fewer fields → far fewer mistakes.
  • File naming: EVENT_Company_Format.png for easy sorting/sharing.

Security & compliance

  • Domain whitelist: the kit only renders on your authorized domains.
  • Isolation: the iframe sandboxes rendering; keep a clean host container.
  • Minimal data: collect only what’s needed (e.g., name/company); analyze via CSV.

Measuring adoption (dashboard & CSV)

  • UA consumed (real adoption).
  • Downloads per format (what gets used most).
  • Timeline (spikes after reminders).
  • CSV export (Excel/BI).

Short FAQ

UA, in practice?
A UA = 1 person/company (exhibitor or speaker) who downloads at least 1 visual, even if they grab several.

What if I run out of UA?
Existing participants remain fine. To register new participants, add a 50-UA top-up.

Can I embed the kit anywhere?
Yes via iframe, but only on whitelisted domains.

Which metrics are included?
UA consumed, downloads per format, timeline, CSV export.

Support?
Priority support — business hours.

Next steps

  1. List your formats (square, story, landscape, email).
  2. Define editable fields (logo, name, booth…).
  3. Add your domains (prod + staging) to the whitelist.
  4. Estimate your initial UA allowance (+ buffer).
  5. Schedule 2 reminders to boost adoption.
